Privacy Policy

This Privacy Policy explains what personal data Meducative collects, how we use it, and the choices you have. Meducative is operated from Accra, Ghana, and is the data controller for your personal data. It applies to everyone who uses our website and platform, and should be read together with our Terms of Service.

1. Who we are

Meducative is an exam-preparation platform operated from Accra, Ghana. We are the data controller for the personal data described here, which means we decide how and why it is processed. We process personal data in line with Ghana’s Data Protection Act, 2012 (Act 843).

2. What we collect

Account and profile

When you sign up we collect your name, email address, an optional phone number, and a password (which we store only as a secure hash). As you set up your profile we may collect your medical or dental school, graduation year, how many times you have attempted the CRE before, how many hours a day you study, and your target CRE sitting.

Study and performance data

We record the quizzes and mocks you take, the answers you choose, your scores, time spent, questions you bookmark, the subject and system filters you use, and your diagnostic results.

Exam-integrity data (mocks)

To keep scheduled mocks fair, we collect the name you type and the time you acknowledge the honour code, an optional photo if you add one, your IP address and device/browser, and integrity events during the mock — such as switching tabs, leaving or losing focus on the exam window, exiting fullscreen, blocked copy or paste, connection gaps, and session changes.

Device and sign-in data

We record sign-in times and counts and the IP address and device/browser used, and we keep a record of your active session (a session token, IP, device, and last-seen time) so we can enforce one active session per account.

Payment data

When you request paid access we collect the plan you chose, the amount, and a reference code. You pay by card or mobile money through our payment provider, or by a direct bank or mobile-money transfer; you can then give us your payment receipt reference, a screenshot, or a short note so we can match the payment. Card and mobile-money details are handled by our payment provider — we do not collect or store card numbers ourselves.

AI tutor

If you use the AI tutor, we collect your messages and the question and answer context needed to respond, along with usage counts.

Communications and cookies

We keep the transactional emails we send you (such as account, access, and mock-reminder emails). We use only essential cookies needed to sign you in and protect the site, plus an optional “remember me” cookie if you choose it. We do not use analytics or advertising trackers — see the Cookies section below.

3. How we use your data

We use your data to:

  • create and run your account;
  • deliver the diagnostic, quizzes, mocks, analytics, and AI tutor;
  • grade your work and show your progress;
  • run mocks fairly and detect cheating;
  • process access requests and confirm payment;
  • send you service emails such as confirmations, password resets, access updates, and mock reminders;
  • keep the platform secure and prevent fraud and abuse;
  • improve the platform; and
  • meet our legal obligations.

4. Our legal bases

We process your personal data under Ghana’s Data Protection Act, 2012 (Act 843). Depending on the data, our lawful basis is one or more of:

  • your consent — for example for the AI tutor and any optional photo you add;
  • performance of our agreement with you — to provide the platform you signed up for;
  • our legitimate interests — to keep the platform and our exams secure and to improve our service; and
  • compliance with the law.

5. Who we share data with

We do not sell your personal data. We share it only with the service providers who help us operate Meducative — such as our payment provider, our email-delivery service, our file-storage provider, and the AI service that powers the tutor — and we give each only the data it needs to do its job. These providers act on our instructions. We may also disclose data if the law requires it, to protect our rights or the safety of our users, or in connection with a business transfer such as a merger or sale — in which case we will let you know.

6. International transfers

Meducative is based in Ghana. Some of the service providers we use may process data outside Ghana. Where data leaves Ghana, we take reasonable steps to ensure it remains protected.

7. How long we keep data

We keep your account and profile data while your account is active, and we keep your study and performance data so your history and analytics remain available to you. Mock attestation photos are deleted automatically about 30 days after the mock. We keep payment records, including proof of payment, for our financial and tax records. If you ask us to delete your account, we will do so, except where we must keep certain records by law.

8. How we protect data

We protect your data with measures including encryption in transit (HTTPS), secure password hashing, access controls for our team, and one-active-session enforcement on accounts. No online service can be completely secure, but we work to protect your information and to respond promptly if something goes wrong.

9. Your rights

Under Act 843 you have the right to access the personal data we hold about you, to ask us to correct or delete it, to object to or restrict certain processing, and to withdraw consent where we rely on it. To exercise any of these, email us at support@meducative.com and we will respond. You also have the right to complain to Ghana’s Data Protection Commission (dataprotection.org.gh).

10. Children

Meducative is intended for adults (18 and over). We do not knowingly collect personal data from children. If you believe a child has provided us data, contact us and we will delete it.

11. Cookies

We use cookies only where they are necessary: a session cookie to keep you signed in, a security token to protect forms, and an optional “remember me” cookie if you choose it. We do not use analytics, advertising, or third-party tracking cookies. You can block or delete cookies in your browser settings, but the platform may not work properly without the essential ones.

12. Changes to this policy

We may update this Privacy Policy from time to time. If we make a material change, we will give reasonable notice — for example by email or a notice on the site. The “Last updated” date above shows when this version took effect.
